Thanks to the Hiring Status Templates, recruiters can now customize recruitment progress statuses for each requisition, aligning with its company's specific hiring process or preferences from the hiring managers.
Here is a list of important points you should know to better understand how the system works:
1️⃣ IMPACT ON ALL REQUISITIONS:
When editing, deleting, or adding new sub-status categories to an existing template, please keep in mind that it will affect the recruiting process of ⚠️ ALL requisitions ⚠️ that are using that template. In other words, if other recruiter colleagues are using the same template for their own requisitions, their requisitions will be impacted by your changes. If you do not want to affect other requisitions, we advise you to create a brand new separate template.
2️⃣ CREATING A NEW SUB-STATUS:
When you create a new template, you cannot update the default template nor change its main hiring statuses provided by the HirePlanner system. Hiring Sub-statuses can be created and added only under one of the main default hiring statuses listed below.
- New Application
- Screening Stage
- Interview Stage
- Final Interview Stage
- Offer Stage
- Offer Accepted
- Offer Turned Down
- Candidate Withdrew
- Turned Down
- Moved to Another Requisition
- Pipeline
3️⃣ DELETE A TEMPLATE:
Since a template can be used by multiple requisitions, it is not possible to delete a template that is connected to a requisition. If you wish to delete a Hiring Status Template, you must make sure that no requisitions are attached to it. If a template is not connected to any requisitions, you can delete it without risking to impact other roles.
4️⃣ DELETING A SUB STATUS:
The same applies to sub-status items. If at least one candidate application is listed under that sub-status, it cannot be deleted. If you wish to remove a sub-status category on a template, you must make sure no candidate applications are using the sub-status that you are trying to delete.
5️⃣ ASSIGN A NEW TEMPLATE TO A REQUISITION (AFTER YOUR STARTED RECEIVING APPLICATIONS):
If you wish to use a new template for one of your requisitions after you have already started receiving some candidate applications, please remember that all candidates that are listed under a sub-status category (in the original template) will be automatically transferred under the main status category of the new template after you save the changes of your requisition form.
For example:
Let's assume a requisition is using the following template with 3 Interview steps (see attached screenshot below) and currently has 5 candidate applications listed under these sub statuses:
If you update the Hiring Status Template of that requisition and save your changes, the candidate applications from that requisition will be automatically re-organized and listed under the main status categories of the new Hiring Status Template assigned to the requisition.
